1. Who is responsible
DMS HOLDINGS LLC, trading as DMS Holdings, is responsible for the personal data described in this policy. The company holds trade licence No. 2010297.01, issued in Sharjah Media City (Shams), Sharjah, United Arab Emirates, and works from Dubai and Sharjah. Email [email protected] with any question about this policy or your information.
We handle personal data in line with applicable UAE law, including Federal Decree-Law No. 45 of 2021 on the Protection of Personal Data where it applies.
2. Information you send us
The enquiry form asks for your name, company, email address, the country or market concerned and a description of what you need. The supplier form asks for a contact name, company, email address, country, sector and the products and volumes you supply, and lets you add a website address and a PDF catalogue of up to 10 MB.
If you email us, including about careers, we receive your email address, your message and any attachment, such as a CV. Please send only what is relevant. Do not send identity documents, bank details or sensitive personal data, such as health information, unless we have asked for them through an agreed channel. If you include another person’s details, make sure you are entitled to share them.
3. How a form submission is handled
When you send a form, the website checks that the submission came from this site, that it is within the size limit and that it has passed a Cloudflare Turnstile security check. It then emails the details to our business inbox through Resend, with any catalogue attached. The website does not keep a separate copy or database of submissions.
Our server logs record whether each submission was sent or rejected and the reason, not what it contained. After a successful submission, a short summary is kept in your browser tab so the confirmation page can show it. The Cookie Policy explains how that works.
4. Technical and security information
Cloudflare hosts this website and protects it against misuse. To deliver pages and detect attacks, it processes technical data such as your IP address, browser and device details and the pages you request.
Turnstile helps tell people apart from automated traffic. It uses signals such as your IP address, your browser’s user agent and characteristics of your connection, and runs in a frame served by Cloudflare. When Cloudflare uses this data to improve its bot detection, it acts as an independent controller and its own privacy policy applies.
Where enabled, Cloudflare Web Analytics measures visits and page performance without cookies or browser storage.
5. Why we use your information
We use what you send only to deal with your enquiry: to reply, to assess a supplier range or a careers introduction, and to discuss a possible purchase, supply arrangement or role. We use technical data to run and secure the website, investigate misuse and resolve delivery problems.
We do not use website submissions for marketing, we do not add you to a mailing list and we do not sell personal data.
We rely on the grounds the law provides: steps you ask us to take towards a contract, compliance with our legal obligations, and your consent where it is required. Sending an enquiry is not consent to any unrelated use.
6. Who receives it
Resend (Plus Five Five, Inc.) delivers form submissions to our inbox as our email service provider. Cloudflare provides hosting, security checks and, where enabled, analytics. Our business email provider stores the correspondence we receive. Within DMS, only people who need the information for their work can access it.
If an enquiry leads to a transaction, we share the details needed to complete it with the suppliers, freight and logistics providers, advisers and other parties involved. We may also disclose information where the law requires it or to establish or defend legal claims.
7. Processing outside the UAE
Resend processes data in the United States and Cloudflare operates a global network, so your information may be processed outside the UAE. Where UAE law sets conditions for these transfers, we rely on the routes it permits, including our providers’ data processing terms. Using international providers does not change our responsibility for your information.
8. How long we keep it, and security
We keep enquiries, introductions and attachments only as long as we need them for the purpose they were sent: to answer the enquiry, manage any business relationship that follows, keep the records the law requires and deal with any dispute. After that, we delete them or keep them only in a form that no longer identifies you.
A CV sent by email is kept while we consider you for work with DMS. Sending one does not add you to a recruitment database. Our providers keep their own technical logs for limited periods under their terms.
We limit access to your information and use reasonable technical and organisational measures to protect it. No website or email system is completely secure, so please do not send anything you would not want to share by email.
9. Your rights
Subject to the law and its exceptions, you can ask what personal data we hold about you and how we use it, and ask us to correct, update or erase it, or to restrict or stop processing it. Where we rely on your consent, you can withdraw it at any time without affecting earlier processing.
Email [email protected] with your request. We may ask for proportionate information to confirm your identity. If we cannot meet a request, we will tell you why where the law allows. You can also complain to the UAE Data Office, established by Federal Decree-Law No. 44 of 2021.
10. Other websites and changes
Links to maps and other external services open websites with their own privacy practices, which this policy does not cover.
We will update this policy when the website or our practices change. The date at the top shows the latest revision.
